Your case management system shapes how your team tracks deadlines, records, liens and settlements. Here is a neutral, staff-level look at five platforms PI firms commonly evaluate: Filevine, CasePeer, Needles / Neos, Clio and MyCase. We only list facts we could verify on each vendor's own website on October 28, 2026. Features and prices change, so confirm with the vendor before you buy.

Disclosure: We are not paid by any vendor named here. Guillory & Associates works inside our clients' existing systems. Our main site names Filevine, Smokeball and Litify as examples. Any future sponsored placement on this page will be clearly labeled.

2. What PI staff should test in a demo

  • Medical records and bills tracking: per-provider request status, follow-up dates, fees paid, and records received
  • Lien tracking: hospital, Medicare, Medicaid, ERISA and LOP balances, with final amounts and reduction notes
  • Deadline control: statute-of-limitations fields, court-rule calendaring and reminders
  • Demand workflow: templates, specials auto-totals, exhibit generation, and AI drafting with attorney review
  • Settlement statements: fee, cost and lien math that matches your trust accounting
  • Client communication: texting, client portal and treatment check-ins
  • Integrations and data export: e-signature, accounting, and your ability to export all data if you switch
  • Permissions: granular access for outside support teams, such as a virtual paralegal provider

3. How firm profile tends to drive the choice

  • PI-only practices often shortlist PI-built systems (CasePeer, Neos) and highly configurable platforms (Filevine).
  • Mixed-practice firms often look at general practice management tools (Clio, MyCase) and check how well PI workflows can be configured.
  • Volume and team size drive total cost, because most tools price per user. Count paralegals, case managers and outside support seats.

Whatever you choose, we work inside it. See how our support plans work.
